Meeting Minutes

GBRC General Meeting Minutes of 1-19-2004

Location: 4200 Meridian

Attending: Len, Carolyn, Gale, Mary, Paul, Polly, Tjalling, Chuck, Alison, Rick, Bill, Alta, Vicki, Sharon, Kristin, Jack and D’Linda Laird.

Laird’s Request: Jack and D’Linda Laird are working with the Boys and Girls Club of Lummi Island to put on a race, tentatively, Saturday, September 18 and would like the help of the GBRC. They can use club timing equipment for $25 and recruit club members to help, but the GBRC will not make this a club run. It was recommended they volunteer at club runs to gain experience. The insurance issue was also addressed.

Secretary’s Report: Approved as read

Treasurer’s Report: Gale compared 2002 and 2003 year end financial reports. The report was approved.

Membership: Alta reported that membership was down because we are not extending the grace period for 2003 memberships into 2004. Because the Lake Samish Run was cancelled, we lost the opportunity to sign up renewals. Bill will do an e-mail reminder for re-joining. We will order 200 more newsletters to send or give out as people rejoin.

The gratis membership of Bonnae Alden will continue.

Website/Communications: Bill will do a survey on website use, as previously planned. There will be a member/non-member designation.

The website noted the cancellation of the Lake Samish Run.

Race Director/Board Liaison: Gale reported the Fairhaven Frosty participation was down from last year but better than the years before ’02.

Lake Samish Run was cancelled due to snow and unsafe running conditions.

Sharon updated the board on the Two for the Road. Electricity should be on in the shelter but there is no water. She will get the results on website ASAP. Mary and Kristin will transcribe results for race directors if needed.

Tjalling discussed the GBRC taking on the Birch Bay Marathon. Club members have talked of wanting a marathon in the race schedule and Dave Dutton, informal race director of this informal event, would like GBRC sponsorship. He would stay on as race director. The discussion included charging a fee to cover insurance (no fee is charged now) and other services we could offer. Alison will check on race permitting and needs a map of the course. If we decide to accept the marathon, we will consider a new date so there is no conflict with other events.

Equipment Manager: Alison is updating the storage facility security policy and procedures.

Events/Activities: Mary reported the committee is working on a spring event—perhaps a biathlon with darts and balloons.

Old Business:

a) Proposed policy for guests/speakers—Mary recommended determining relevance to the board before a presentation and limiting it to 10 minutes.
b) Race certification—Paul talked with Tom Cotner. Tom could teach certification to one of our members. Club NW charges $130 to certify a course and has a 9-month backlog. Ken Gass has rejoined GBRC and was certified as a course measurer.
c) Sister City Marathon—Paul couldn’t participate due to injury.

New Business:

a) Vicki is resigning as newsletter editor effective as soon as a new editor volunteers.
b) Carry over fire-proof safe issue (Christy).
c) Rick proposed listing benefits offered to GBRC members by retail stores. Businesses offering discounts may announce it in the newsletter, but the club is not responsible for the continuation of benefits or discounts.

Calendar: Newsletter deadline is March 15.

Next Meeting: Monday, March 22, 7pm, 4200 Meridian (main floor), behind Quizno’s. All members are welcome.
