GBRC MEETING 5/7/01

Financial Report

Most membership revenue come in the first quarter, as reflected in the financial report. So far there has been little spending this year; most events & expenses come later in the year.

The board voted on & approved the financial report.

Membership Report

Membership report shows a substantial drop in membership. This drop is due to non-renewing members being dropped as of 4/1.

Alta questioned whether to drop off those formerly gratis members who have not paid? A motion was made to extend gratis lifetime membership to Craig Moore & Danny Anderson & Bill Roe in appreciation for their many years of dedicated service.

Alta will put together a history of membership level as best as possible for comparing year-to-year.

Race Director /Board Liaison Report

Tjalling contacted the race directors for those races upcoming before the next board meeting. No needs or concerns were expressed by any of the race directors.

Gale requested that Tjalling confirm w/Dick Ryan that he is planning to direct the Padden Relay.

Equipment Report

Rick indicated that the inventory is not completely done. He has questions on whether the club should continue to keep a few dated items. He will bring them to the next meeting for the board to decide. Among those items are some dated banners. Rick suggested not putting a date on banners and then theyıd be reusable. Suggestion was passed on to Haggen.

Rick is working on creating a checkout list for those borrowing equipment. Having this record will allow the club to track any equipment that is not returned.

Equipment is available for use by groups hosting events that promote running in the community so long as the request doesnıt interfere with any club event. The time clock specifically requires a club member to operate it/be accountable for it.

Technical Coordination: race permits are in for Chuckanut Footrace & the Literacy race. Donıt need permits for Lake Whatcom and donıt have yet for Padden.

The organizers of the Holland Days run in Lynden expressed profuse thanks on behalf of the community for the use of the equipment and especially the excellent volunteer help.

Events/Activities Report

40some runners participated in The prediction mile run and feasted on pizza afterward. There were a few new faces joining in the Earth Day run. Tjalling did some email communication with the Chuckanut Orienteering Club about possibility of an event. They have a beginnersı event in the Fall. We will advertise their event.

A summer social run, potluck and meeting will happen in July. Mary will check into date availability for the facilities at Bloedel Donovan Park. There are no social activities lined up for the Fall yet. Ideas welcome.

Old Business

The high school scholarship information sent out. Committee will make follow up calls to school counselors to make sure the information was received. Applications are due by May 31.

WWU scholarship - Tjalling will notify them that it has been renewed for this year. Len attended athletic scholarship appreciation banquet at WWU and met the GBRC scholarship recipients.

Web site: Follow up hasnıt happened as of this time. Rick and Alta both emphasized the popularity of the internee and urged the club to get something up and ³running². The committee will draw up an announcement for newsletter to attract any club members interested in working on the web site. Alta expressed an interest in maintaining the site. The club could consider funding a class for Alta or someone else to learn web design.

New business

Discussion regarding the Chuckanut Footrace & Haggen transitioning out of sponsorship after this year. There are other potential sponsors who would be interested in sponsoring the event. The race directors would like to be completely removed from determining the event sponsorship; board should make decisions on sponsorship. The club doesnıt necessarily need a sponsor for the event since the club would earn the race fees for the event. The club could also charge members to participate in those events that have higher costs. One idea worthy of consideration in the future - reverse the event. Bus runners to the start at Larrabee State Park & finish in Fairhaven. Doing so would shorten the amount of time that the club would need to have busses available and would likely get the support of Fairhaven Merchants.

Tjalling is still pursuing the possibility of installing mileage markers on the Interurban Trail.

Len prepared a separate revenue & expense report including projections for use in planning next yearıs budget. Expenses have remained consistent over the years and revenue & membership have steadily grown. The running shoe support program so far has been underutilized. The club will continue it so that no young runners will be denied the opportunity to participate because they canıt afford shoes.

Gale would like the club to have next Jan. - have someone audit the books next January. Len agreed and will add it to the calendar.

Jeff received a donation from Haggen of 830 blank race numbers that were extras. Rick will put them in the equipment cache and theyıll be available for use for any event.

The club received thank you notes from Leukemia Society and from WWU for supporting their activities.

Steve updated the board on the Hospice Run which will take place August 25 . He requested volunteers from the club to oversee the Whatcom County Cross Country team who will help out at the race as a fund raising event.

Len received a phone call from an organization requesting to set up an information table at a club run. The board decided that the club will not allow advertising or soliciting except by the sponsors or benefiting organization of the event.

Alison distributed flyers for Race Beneath the Sun.

Concern was expressed that club meetings run long. Board decided that meeting more often would be appropriate. Board would meet monthly during peak months of Spring/early summer and then again in Fall. Next meeting set for June 11 - Alisonıs house at 7pm.

Deadline for newsletter submissions is May 15th.
