GBRC BOARD MEETING MINUTES OF NOVEMBER 10, 2008

Attending: Alison, Tjalling, Christy, Rick, Cheryl, Len, Gale, Bill, Polly and Carolyn

Location: Community Food Co-op

Secretary’s Report: Approved

Treasurer’s Report: Approved. Gale presented the financial report through September 30. Two high school seniors and two WWU students each received scholarships of $1000.

Membership: Bill reported 646 members and 385 households as of November 10.

Website/Communications: Rick has not changed the web host but still wants to due to poor service and poor performance. He will probably wait until after the 50K.

Rick likes the results of races to be submitted in an Excel spreadsheet. He will try to have race directors be more uniform in their submissions.

Newsletter: Cheryl and Paul will stay with Towner Printing for now. Service has been much better. A PDF conversion can be done online.

Cheryl reported that readers would like full results printed, which takes too much space. She has been putting in the top ten times. Full results are available on the website.

Race Director Liaison: Tjalling reported the Padden Mudfest had 170 participants with 60 of them registering online.

Christy, Joanie Whitener, and Robin Smith will be co-race directors for the Lake Samish Runs on January 3. Christy will retire as a director after this year’s race.

Race Director recruitment: Someone has expressed interest in directing the Haggen to Haggen. This person will need guidelines.

Len and Kristal Sager will co-direct the Silver Lake 5K citizens run in October.

Coaching: Trail Runs: Rick Hill led the trail runs in September and October. There were 12-20 runners each week with a wide range of paces. Rick was helped by Polly and John Schick. There was a small celebration after the last run in October.

Rick may move the trail runs to August and September in 2009 to take advantage of the longer daylight.

Track Workouts: Track workouts are continuing without Joel by attendees of the original group. In 2009, track workouts will start in February and continue until the Chuckanut Footrace in July. The original intent was to train for the 7-mile Chuckanut Footrace. A coach will need to be recruited.

Equipment Manager: Alison reported that Joel’s dad returned the missing cones. A new, smaller race clock has not yet been ordered. Race clocks being considered have 6-inch to 4-inch five digit LED displays. Rick will take a look at Raceclock.com to see if data connection is available and do further research. The manufacturer of our old chronograph, who also does our clock repairs, is out of business.

Inventory has not been done. Tjalling and maybe Gale will help Alison with inventory of the storage locker.

Events/Activities: Polly reported 9 sweatshirts were left. She will assess what else is left and give it out at the holiday meeting. Some items may need to be donated.

The Holiday meeting will be held at WECU on December 7 from 5:30-8pm. There will be a slide show and anyone may submit running photos to be included.

Old Business: Registration brochure printing: Polly will ask that 500 be printed.

Chuckanut 50K proposed changes: Tjalling said there will be no change of course this year. Online registration will start on January 3. Krissy is moving from Bend to Seattle and we will encourage her to attend one of our meetings.

A funds management policy was presented by the committee of Len, Christy, Rick, Cheryl and Gale. The policy included how funds beyond our defined needs may be distributed. Christy would like the board to decide each year on fund distribution.

New Business: Run training for Ski to Sea—carry over.

2009 Preliminary Budget and prior years actual performance report was presented by Len.

2009 board nominees: Current board members in attendance agreed to be on the board next year.

Calendar: Newsletter deadline is Dec 15.

Meeting Dates: The board election will be at the December 7 meeting. When the board meets again on Jan 19, the board will elect officers.

Next board meeting: Monday, January 19 (Martin Luther King Day) at the Community Food Coop, 6:30 pm. We will discuss term limits on officers.
