GBRC Board Meeting Minutes of November 19, 2007

Attending: Len, Scott, Tjalling, Alison, Cheryl, Polly, Bill, Gale, Christy, Paul, Rick

Secretary’s report: The minutes of September, 2007 approved

Treasurer’s Report: Financial report through 9/30/07 was presented. Report approved. Scott Young informed us the financials looked good and were in order for 2006.

Membership: Not much activity in terms of new membership. Bill sent mailing to Speedy Automated Mailers, it included renewal application; flyers for Samish Run and Fairhaven Frosty, Winter Party, and apparel for sale (sweatshirts ($25), and long and short sleeve t’s $10)). Mailing will take place right after Thanksgiving.

Newsletter – Cheryl wants input from people to put in newsletter. Paul and Cheryl continue to work on enhancing it. December 15 is deadline for January newsletter.

Race Director Liason: Tjalling – Padden Mudfest was well attended. Ed Harri says there are some interested folk to take over race director for next year. Turkey Trot – well attended. Fairhaven Frosty – the 5K the same as last year and the 10K will be 2 loops of the 5K course. Lake Samish – currently DOR registration only. Discussion about maybe doing pre-race registration. Tjalling will work on getting new race calendar out to NW Runner and other magazines.

Jay Sloane, coach form Mt Baker HS is interested in talking with GBRC about the club taking on the community race at the Mt Baker Invite at Silver Lake again. Tjalling will contact Jay to get more info.

Chuckanut 50K – Tjalling spoke with Krissy and registration will be delayed approximately 1 month while potential new course is being proposed. Some concerns were raised by the board and will be sent to Krissy - concerns were – Do not cross Chuckanut Drive; have the finish at Fairhaven Park, it is a better facility for post-race food and shelter to get warm and dry; how difficult might it be (if at all) to get permitting for some of the more heavily used trails i.e. Arroyo Park.

Equipment: Alison stated that people MUST sign equipment out when they take it. One Seiko timer and megaphone are currently missing. Items used or taken from storage need to be documented. GBRC races take precedence over other races. There was discussion about new lock and new keys being purchased.

Events/ Sweatshirts: Polly ordered 50 hooded sweatshirts, 30 long sleeve, and 30 short sleeve. 13 sweatshirts, and 5 t-shirts sold at Mudfest. They will continue to be sold at local running stores and Polly will sell at Fairhaven Frosty and Samish Runs.

The proposed budget for 2008 was approved.

Election for 2008 GBRC board will take place at the Holiday Party in December. Elecions will be open.
