GBRC Board Meeting Minutes of January 15, 2007

Attending: Len, Rick, Paul, Tjalling, Cheryl, Polly, Carolyn, Beth Corcoran, Gale, Bill and Joel Pearson

Secretary’s Report: The minutes of November 20, 2006, recorded by Paul, were approved.

Treasurer’s Report: Gale reported that many membership renewals are being sent in now.

The year-end financial report of 12/31/06 was approved.

No shoe subsidies have been used yet. Christy was coordinating the program.

Membership: Bill reported that the renewal forms that were mailed out are being used. He noted there is an increase in email newsletter requests. Membership numbers for 2007 will not be accurate until the end of January when applications submitted in late December and early January will arrive.

Website/Communications: Rick reported the Chuckanut 50K has only online registration. Payment was mail in or online. The 50K is full.

Birch Bay Marathon and 25K have online registration. Payment online is with PayPal or payment can be race day. Scott is transferring funds from PayPal to GBRC, with PayPal receiving a small percentage. PayPal notifies Bill if members need to be verified.

Events/Activities: No members have volunteered to chair this committee. Polly and Rene have volunteered to do the holiday party next December. Polly will take over the club sweatshirt distribution if Mary doesn’t want to do it. The summer barbeque/fun run still needs a coordinator.

Newsletter: Cheryl and Paul put together the January/February newsletter. The next issue will be March/April with a February 15 deadline. Discussion about future content included features like member profiles, new members welcomed and post-race write ups and pictures. Beth Corcoran volunteered to work on the newsletter.

Equipment/Technical Coordinator: Alison was absent but wanted to know if the new measuring wheel she is going to order should be in meters or feet. A wheel measuring feet was preferred by most of the board.

Race Director Liaison: Tjalling reported the Fairhaven Frosty was snowed out. The Lake Samish runs had approximately 200 runners.

The Birch Bay Marathon/25K, February 18, is being directed by Tjalling and Joel Pearson. Birch Bay businesses and resorts donated gift certificates for prizes. The Western Cycling Club will be helping again this year.

Old Business: Joel Pearson wants to coach track workouts from February through July. Erin Delude may assist occasionally. Attendees must be current GBRC members and sign a waiver. Place and day of week are to be decided.

2007 Budget: Len’s proposed budget and prior years actual performance was discussed. Coaching fee to be paid to Joel will be $200 per month.

New Business: The 50K course needs trail maintenance. The Ridge trail has a lot of trees down and there is a slide on the flats north of the Cleator intersection with the Interurban.

Rick will coordinate a trail workday after Carolyn calls Scott Chalfant, Larrabee Park Ranger, to check on permission to do clearing.

The next meeting is March 19, 6:30pm, at the Health Education Center, end of Squalicum Parkway. All members are welcome to attend.
